Welcome to EX Photobooth Rentals. These Terms & Conditions ("Terms") govern your use of the EX Photobooth Rentals website and the booking, rental, and use of our services and equipment.

By accessing our website, requesting a quote, making a payment, signing an agreement, or booking services with EX Photobooth Rentals, you agree to these Terms and any additional terms contained in your signed rental agreement.

If a signed rental agreement contains terms that differ from these general website Terms, the signed rental agreement will control for that specific booking to the extent of the conflict.

1. About EX Photobooth Rentals

EX Photobooth Rentals provides photo booth experiences, event rentals, guestbook experiences, backdrops, special effects, and related event services.

Our services may include:

- Digital photo booth experiences
- DSLR photo booth experiences
- 360 photo booth experiences
- Magazine-style photo booth experiences
- Audio and video guestbooks
- Phone booth guestbook experiences
- Flower walls and backdrops
- LED dance floor rentals
- Cold spark effects
- LED number rentals
- Pedestal rentals
- Other event enhancements and accessories

Services, equipment, packages, and availability may change.

2. Quotes and Availability

Submitting an inquiry or requesting a quote does not reserve an event date.

Event dates and equipment are subject to availability.

A date is considered reserved only after EX Photobooth Rentals receives all required booking items specified in your proposal or rental agreement, which may include:

- A signed rental agreement
- The required retainer or deposit
- Required event information

Until these requirements are completed, the requested date may remain available to other clients.

3. Pricing

Prices are based on the services, equipment, event duration, location, and add-ons selected at the time of booking.

Additional charges may apply for circumstances including:

- Additional rental hours
- Extended operating time
- Travel outside our standard service area
- Difficult or nonstandard setup conditions
- Parking or venue access fees
- Special delivery requirements
- Additional attendants
- Custom designs or specialty requests
- Last-minute changes
- Damage, loss, or excessive cleaning

The client's proposal or rental agreement will provide the pricing applicable to that specific event.

4. Retainers, Deposits, and Payments

A retainer or deposit may be required to reserve your event date.

The amount, payment schedule, and due dates will be stated in your proposal, invoice, or rental agreement.

Unless otherwise stated in writing, payments made toward a booking are applied to the total amount due.

Failure to make required payments by the stated deadlines may result in cancellation of the reservation and release of the event date.

5. Final Payment

The remaining balance must be paid according to the deadline stated in the client's rental agreement or invoice.

EX Photobooth Rentals may decline to deliver, install, or operate rental equipment when an outstanding balance remains after the required payment deadline.

6. Cancellations and Rescheduling

Cancellation and rescheduling terms are governed by the cancellation policy and the client's signed rental agreement.

Any request to cancel or reschedule should be submitted to EX Photobooth Rentals in writing.

Rescheduling is subject to availability and may result in additional charges when the event date, location, services, equipment, or other booking details change.

Payments already made may be nonrefundable or subject to specific cancellation terms as stated in the applicable rental agreement.

7. Event Time and Additional Hours

Rental time is based on the contracted service period.

Setup and breakdown time are generally separate from the client's contracted operating time unless otherwise stated.

Requests to extend service during an event are subject to:

- Equipment availability
- Staff availability
- Venue restrictions
- Payment of the applicable additional-hour rate

Additional time is not guaranteed unless approved by EX Photobooth Rentals.

8. Client Responsibilities

The client is responsible for providing accurate event information, including:

- Event date
- Venue name
- Venue address
- Event start and end times
- Setup requirements
- Venue contact information when requested
- Loading and unloading instructions
- Parking information
- Access restrictions
- Stairs, elevators, or unusual access conditions
- Indoor or outdoor setup information
- Electrical availability when required

The client must notify EX Photobooth Rentals of material changes as soon as possible.

9. Venue Access and Setup

The client is responsible for ensuring EX Photobooth Rentals has sufficient access to the venue for delivery, setup, operation, and removal of equipment.

The client must obtain any necessary permission from the venue for the equipment and services being rented.

The venue must provide a safe and reasonably accessible setup location.

EX Photobooth Rentals is not responsible for reduced service time caused by venue restrictions, delayed access, unavailable loading areas, incorrect event information, or other circumstances outside our reasonable control.

10. Electrical Requirements

Certain equipment requires access to a safe and reliable electrical source.

The client and venue are responsible for providing appropriate electrical access when required.

EX Photobooth Rentals may refuse to connect equipment to electrical sources that appear unsafe, overloaded, damaged, improperly installed, or otherwise unsuitable.

11. Outdoor Events

Outdoor rentals require additional consideration for weather and environmental conditions.

Equipment may not be operated or installed in unsafe conditions, including:

- Rain
- Standing water
- Excessive wind
- Lightning
- Severe weather
- Unstable ground
- Extreme temperatures
- Conditions that may damage equipment or create a safety risk

EX Photobooth Rentals reserves the right to stop, relocate, delay, or decline operation of equipment when conditions are unsafe.

When applicable, the client may be required to provide a covered, level, dry, and protected area suitable for the rented equipment.

12. Equipment Use

Rental equipment remains the property of EX Photobooth Rentals unless otherwise stated.

Clients and guests must use equipment responsibly and follow instructions provided by EX Photobooth Rentals staff.

Guests may not:

- Move equipment without authorization
- Climb on equipment not designed for climbing
- Tamper with electrical connections
- Remove equipment from the designated area
- Intentionally damage equipment
- Use equipment in a reckless or unsafe manner

EX Photobooth Rentals may suspend use of equipment when necessary to protect guests, staff, or property.

13. Damage, Loss, and Theft

The client may be financially responsible for damage, loss, theft, or destruction of rental equipment caused by the client, guests, venue personnel, vendors, or other persons attending the event, except for ordinary wear and tear or damage caused solely by EX Photobooth Rentals.

Charges may include reasonable repair or replacement costs.

The client should immediately report any damage or equipment issue to an EX Photobooth Rentals representative.

14. Photo Booth Participation

Participation in photo booth experiences is voluntary.

Guests are responsible for following instructions provided by the booth attendant or displayed with the equipment.

EX Photobooth Rentals may stop an individual from participating if their behavior creates a safety risk to themselves, other guests, staff, or equipment.

15. The 360 Spotlight Safety

Guests participating in The 360 Spotlight must follow all safety instructions.

Guests should:

- Enter and exit the platform carefully
- Remain within the designated platform area
- Avoid jumping or unsafe movements
- Follow attendant instructions
- Keep liquids away from electrical equipment
